Role Summary

Diversified Search seeks a talented Associate, Business Operations to play a critical role in building a bridge between business development, client services and business operations across the Diversified Search Group. The Associate will serve under the Vice President, Business Operations and Senior Manager, Business Operations as a support for all client-related contract and finance projects including assisting with client deliverables and overall search quality, as well as contribute to maintaining a sustainable, well-run business. The Associate will be a key participant and contributor to the broader DSG Shared Services and Operations teams. The Associate constantly shows a dedicated commitment to improving business systems for DSG’s employees and clients. They will be a trusted liaison between search teams and Shared Services (particularly Finance and Contracts) to ensure both sides are operating in unison.

The Associate will:

  • Work collaboratively with the Chief Operating Officer, Business Operations, and Finance teams to develop and implement effective systems and processes across the DSG

  • Identify innovative short-term fixes for critical issues and long-term solutions for high-impact issues in order to increase operational efficiency and organizational impact

  • Be just as strong a communicator and relationship builder as a project and process manager

  • Support our culture of collaboration and proactive problem solving

  • Ensure accurate and strategic performance measurement systems across all core activities

This is a full-time role responsible for the following:

Client Contracts

- Serve as a key partner across DSG for contract generation for clients and internal staff members and ensure search teams are aware of contract clauses and responsibilities

- Assist with managing of DSG’s internal systems and platforms for search Client Agreement management, ensuring full compliance and effectiveness and the development and dissemination of critical business analytics required for strategic decision-making and enhanced performance across the organization

- Consult and partner with Business Operations to refine and implement methods for strengthening search systems and processes related to Client agreements, including tracking and reporting on client agreement outcomes, providing progress reports on an individual and company-wide basis, identifying flags, trends, and training gaps and collaborating with leadership and other internal staff to address challenges and improvements - Create ongoing solutions for agreement execution and storage

Finance

- Partner with the Finance team to ensure the essential process of opening new searches from executed agreements runs as efficiently as possible

- In collaboration with Finance, provide support on client provided documents to ensure the DSG is compliant and capable of being compensated, including vendor registrations and procurement processes

Business Operations

- Support the Senior Manager, Business Operations with reporting process on revenue forecasting, agreement trends, and contractual obligation review

- Assist with vendor management both for contractual and facilities needs

Facilities Management:

- Assist with location management

- Partner with the Senior Manager, Business Operations on facility matters: assist the effective running of the local office through reviews of attendance, staff needs, and office improvements

- Identify opportunities for regular office improvements and manage the long-term office needs determine space requirements/reviewing usage provide assistance to leadership tracking on all DSG location leases

- Work closely with the Vice President and Senior Manager to ensure that internal systems and processes are efficient and effective, including, but not limited to, search and business work-flow processes

- Be a key participant of the DSGConnect working groups to ensure client agreement and business development processes have a leading voice in DSG’s database

- Assist with reviewing all Master Service Agreements (MSA’s) and vendor registrations across DSG in conjunction with Practice stakeholders

Required Qualifications

- Excellent communication skills and ability maintain a positive attitude and approach with both employees, clients and vendors, have the utmost attention to detail, and deeply appreciate and respect the confidential aspects of their role.

- Strong systems and process thinker who is continually improving and streamlining systems and ensuring that teams have proper training

- Highly detail oriented, with the ability to spot gaps, mistakes, errors, and flags in processes

- Play a key role in deepening and enhancing culture of transparency and collaboration

- Ability to work across a broad spectrum of departments, functions and cultures

- Experience as a key member of a high-performing team

- Ability to multi-task and adjust priorities in a fast-paced environment

- Initiative and ability to work independently - High degree of responsiveness and flexibility

- Sound judgment and professional maturity

- Commitment to and identification with the core values of the Diversified Search Group and our client organizations

- Proficiency in Microsoft Office Suite and knowledge of basic CRM programs
