Operations Manager / Executive Assistant @ Commonwealth Financial Group
JOB OPENING
We are seeking an Operations Manager/Executive Assistant to provide high-level administrative and operations support. This person will serve as the point of contact for our founders in Boston and will work closely with the founder and project manager to grow the Rally 2 Give operations and overall event experience.

Rally 2 Give is a non-profit organization that connects a community of car lovers, families, and friends. Together, we rally and drive with the purpose to support children and families with special needs as well as underprivileged youth with a focus on developing and growing the next generation of leaders. At its core, Rally 2 Give is centered around one primary idea: connecting great people for great impact, through purpose-driven experiences.

RESPONSIBILITIES
Project Management and Operations Support
Delegate tasks and responsibilities for Rally 2 Give, providing guidance and support to ensure
timely and accurate completion.
Support daily operations for the foundation to ensure efficiency and productivity towards
monthly goals.
Implement and improve operational processes and procedures
Manage expenses and reporting.
Coordinate with cross functional teams to streamline operations and improve workflow.
Assist with special projects and initiatives as required.
Executive Administrative Support
Manage and maintain the team’s schedules, including arranging meetings, appointments, and travel itineraries.
Coordinate and follow up on project timelines and deliverables.
Arrange domestic and international travel, including flights, accommodations, and transportation.
Prepare detailed travel itineraries and ensure team has all necessary travel documents planning.
Organize and coordinate meetings, conferences, and events.
Prepare meeting agendas, take minutes, and distribute follow-up action items.
Maintain an organized filing system for paper and electronic documents.
Manage inventory and orders for our sellable goods for Rally 2 Give
Liaise with vendors, contractors, and service providers as needed.
Handle sensitive information with the highest level of confidentiality and professionalism.
Ensure compliance with company policies and procedures.

QUALIFICATIONS
Minimum 2 years of experience in an executive assistant and/or operations support role
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Airtable)
Previous philanthropic experience (and passion) is ideal.
Calendar management expertise and time management skills.
Excellent interpersonal skills and the ability to build relationships with clients and vendors.
Creative problem solver, with an innate ability to connect with others.
Exceptional organizational skills, attention to detail, and ability to handle sensitive and confidential information with discretion.
