Executive Assistant to Company President - Office-Based in Boston, MA
Our clients are seeking an experienced and polished Executive Assistant to support the President. This is an office-based role that requires a detail-oriented, mature professional with a deep proficiency in Microsoft Office Suite, Outlook, Adobe, and other business technologies. The ideal candidate will have a strong background in providing executive-level support with the ability to manage multiple priorities efficiently.
Responsibilities:
Serve as the primary point of contact between the President, executives, and both internal and external stakeholders.
Manage and coordinate complex calendars, meetings, and appointments, ensuring efficiency and timeliness.
Handle calls, take messages, manage correspondence, and draft professional communications.
Produce high-quality, accurate documents including reports, agendas, spreadsheets, presentations, charts, and briefs.
Arrange domestic and international business travel, including flight, car, and hotel accommodations, ensuring compliance with company policies and budgetary guidelines.
Process and submit monthly expense reports in a timely manner.
Maintain and manage detailed contacts lists, capturing and organizing essential information for employees, clients, vendors, and visitors.
Ensure proper coding of secure files and records, maintaining confidentiality at all times.
Develop and maintain an organized documentation and filing system.
Assist with office upkeep, facility coordination, technical support, mail management, and reception duties.
Provide support for special projects as directed by the President and senior leadership.
Partner with HR to coordinate staff training, events, and track associated costs.
Document and streamline office processes and procedures.
Offer backup support to the administrative team when required.
Qualifications: •
Bachelor’s Degree strongly preferred, or relevant certification with significant related experience.
6+ years of proven experience as an Executive Assistant supporting a CEO, President, or C-Suite executive.
Highly polished, professional demeanor with the utmost discretion and confidentiality.
Comprehensive understanding of office management systems and procedures.
Advanced proficiency in Microsoft Office 365 (especially Outlook, Excel, and PowerPoint) and Adobe Acrobat.
Strong written and verbal communication skills, with the ability to edit documents for grammar and clarity.
Exceptional organizational, planning, and time management skills; ability to prioritize tasks effectively.
High EQ, with a positive attitude and self-motivation to work independently.
Proficient in current office technologies and adaptable to new software and systems.
Strong problem-solving abilities and attention to detail.
Flexible, adaptable, and willing to support the team in varied initiatives.
Willing to work extended hours or weekends when needed.
Schedule: Monday to Friday, business hours, with flexibility for extended hours and weekend work as required.
Compensation: Base compensation of $120,000 - $130,000 offered, commensurate with experience. This role offers excellent benefits including an annual discretionary bonus, health/dental/vision, 401(k) with match, PTO, paid holidays, and more.
